Personal Service to Employees

  • Assist with claim questions and concerns.
  • The MI Choice professional consultants are available via phone or email to answer any questions your employees may have. They will be taken care of to their satisfaction, allowing them to focus on their responsibilities with the company knowing their issues will be resolved. Someone from our office can be on site 1-2 times per week, as you feel is necessary.
  • Call carriers and obtain specifics
  • Call providers if necessary
  • Work with employees to help educate them on how to efficiently look into claims questions.
  • Handle any employee changes such as add/delete dependents, address changes, benefit changes, etc. This needs to be done with each carrier.
  • Life conversions/portability letters.
  • Regarding payroll deductions, there is correspondence with employees and payroll staff on payroll changes due to cost or benefit changes. Additionally, when a new employee is eligible, I send an email to payroll notifying them for deduction amounts, the start date for these deductions and calculate any pro-rated premiums.
  • Meet with new employees and make calls to providers with them.

Pre-Renewal/Renewal/Open Enrollment Responsibilities

  • Meet with agent and group a couple of months in advance of renewal to discuss a course of action and what the actual renewal is projected to be; discuss pre-renewal ideas.
  • Attend renewal meeting when rates and alternatives are presented. Send weekly healthcare “blurbs” to employees 2-months before renewal to help educate them on possible changes, tips, etc.
  • Once plans are selected, present them at the officers meeting.
  • Meet with human resources and accounting to finalize employee contributions.
  • Organize sign-up for open enrollment. Order all carrier kits and design election and payroll contribution forms.
  • Organize and schedule presenters.
  • Gather completed forms, review them for accuracy, submit them to carriers, track for completion; work with enrollment firm if they are used.
  • Have all annual agreements signed and returned to agent/carriers.
  • Prepare personalized benefit summary sheets for each employee.

 

Maintain New Hires

  • Assure accuracy and completeness of new hire kits for both salaried and hourly associates
  • Assure supplies are kept up to date

Meet With New Employees

  • Review benefits and enrollment forms with new employees; if enrollment firm is used a MI Choice Benefits professional consultant will help walk through their enrollment process.
  • Answer questions and help employees complete forms if necessary.
  • Assure enrollment is timely and/or waivers are kept on file.
  • Assure enrollments and/or changes are thoroughly and accurately processed by carriers.
  • Communicate payroll deduction information to payroll.
  • Prepare personalized benefit summary sheet.

Billing Audit

  • Audit all invoices when they arrive monthly.
  • Verify accuracy of enrollment.
  • Verify any credits/adjustments have been credited for additions or terminations.
  • When terminations occur, a fax will be sent to the carrier immediately.
  • New enrollments; faxes are also sent with a cover letter with each audited billing to designated staff personnel. This explains adjustments and gives information to reference at a later date if needed.

 

Disability Claims

  • Short-Term Disability/Long-Term Disability
  • See that the employees receive claim forms.
  • Once completed, the carrier will promptly receive a fax with hard copy to follow.
  • Work with the carrier to gather any additional information that might be requested to ensure quick processing.
  • Once approved, the employee is notified by a MI Choice Benefits team member.

Wellness Event

  • Send out surveys to determine what events employees are most interested.
  • Organize, interview and select presenters.
  • Coordinate event sign-ups.
  • Make “advertising” posters/informational signs explaining each event.
  • Run the events and set up stations.
  • Track success of event (survey).
